3. Tours

Booking & Payment

A ticket must be booked for each person attending a guided walk or tour, so that we can monitor numbers and ensure the walking group size is manageable for the walk leader.

  • A deposit of half the value of the ticket is required when booking, along with a fully completed booking form.
  • On the day of the tour, the full balance of payment is due.
  • Payment is in Pounds Sterling. Unfortunately, we can’t accept credit cards or cheques.

Booking is confirmed only once a fully completed booking form and deposit has been received. A booking confirmation message will be sent to the email address you have provided (please ensure you check your junk mail folder as well as your main inbox).

Cancellation By You

If you need to cancel your place, please inform us as soon as possible. You may cancel your booking at any time before departure but please note that your deposit is non-refundable if you cancel less than 7 days before the date of the tour. Please note that if you are personally prevented from attending as a result of COVID-19 our normal cancellation charges will apply.

Cancellation By Us

We reserve the right to cancel your booking if there are insufficient bookings on your tour (this will depend on tour type and destination) or for other unforeseen operational reasons. In such an event, we will provide you with at least 7 days’ notice of cancellation and provide you with a full refund.

Very occasionally, due to certain circumstances (such as adverse weather conditions, or ill health leaving the walk leader unavailable), it may be necessary to cancel the tour with less than 7 days’ notice, in which case we will likewise provide you with a full refund. If this happens, we will email to let you know. While we hope it won’t be necessary to cancel a walk at short notice, please be sure to check your emails before you set out (please ensure you check your junk mail folder as well as your main inbox).

Note that in either situation we cannot reimburse any incidental expenses you may have incurred (for example, train fares, additional accommodation or connecting flights).

Changes By Us

We do our utmost to ensure that all the arrangements and visits are as described. However, it is in the nature of travel that changes are sometimes inevitable, although most of these will be minor in nature. In the event that a particular visit is not possible, we will aim to replace it with another of equal interest. If we have to make more significant changes to the itinerary in advance of departure, we will provide you with a choice of a refund, credit note or an alternative itinerary.

Weather & Equipment

Walks will usually take place regardless of weather conditions, with the exception of weather that might either compromise the safety of the walk for the group or individuals in the group, or where the weather may adversely compromise participant experience.

You do not need any specialist clothing, but sturdy walking boots (or welly boots) should be worn to enable you to maintain a grip on sometimes slippery and muddy tracks. It’s a good idea to bring a waterproof jacket too, even if the weather looks good.

On the day of the walk the walk will start promptly, so please make sure that you allow yourself enough time for your journey. Please bring a bottle of water and a snack you can eat along the way.

Dietary & Special Requests

On some tours food and drink will be provided. Please advise us at the time of booking of any food allergies or special dietary requirements you may have for medical or religious reasons, and we will do our very best to assist. We are also happy to cater for vegetarians and vegans. Inclusion of the dietary or special request on your booking confirmation or any other documentation is not a guarantee that the request will be met.

Health & Safety

All our tours are fully risk assessed to ensure the safety and comfort of participants. It is therefore essential that you follow any instructions and guidance provided by your tour manager or director.

Any children brought to the walk are solely the responsibility of their parent(s) or guardian(s) who will take full responsibility for their supervision and safeguarding at all times.

If you or your child has had sickness or is suffering from an infectious disease in the 48 hours prior to a tour, please do not attend. Please do not attend if you or your child are displaying COVID-19 symptoms.

Well behaved dogs are welcome, as long as they are kept on lead, and you come prepared to take full responsibility for them.

For the health and safety of everyone on the tour we insist on positive behaviour and respect for others from everyone in attendance.

Fitness

All tours involve some amount of walking, often over uneven paths, hillsides or steps and so require a certain level of physical fitness. However, there will be opportunities to stop and take a breather along the way to enjoy the views, as well as hear from the walk leader about the archaeology.

Medical Conditions or Disability

If you have a medical condition, disability or reduced mobility (including any which affect the booking process) or have any special requirements as a result, please tell us before making your booking so that we can assist you in considering the suitability of the arrangements and in order that we can assess the potential risks to your welfare and health and safety.

If we feel that we cannot reasonably accommodate your needs, we reserve the right to decline your booking. If full details are not given at the time of booking or the condition/ disability develops after booking, we reserve the right to cancel when we become aware of these details.

Issues

If you are unhappy with any element of your tour or the arrangements, please let us know as soon as possible so that we can attempt to resolve the issue. If you are on tour, you should speak directly to your tour leader and not wait until you return home, when it may be impossible for us to help. In the unlikely event that we cannot agree a satisfactory outcome between us, we will ask an Independent Dispute Settlement Service to find an amicable solution.

Our contract with you is subject to English law (and no other) and the jurisdiction of the Courts of England and Wales only.

Privacy

GDPR Information, which will be held for no longer than one year, will be held securely and not shared with any other organisation without your consent, unless we are required to do so by law. Our full privacy notice can be found on our website

4. Workshops and Clubs

ARCHAEODISCOVERY LTD workshops and clubs are age appropriate, and fully risk assessed. The safe use of any take home activities will become the responsibility of the parents/carers of children attending our sessions.

  • If your child has had sickness and/or diarrhoea in the 48 hours prior to a class (or is suffering from an infectious disease such as impetigo) please do not attend. Please do not attend if you or your child are displaying COVID-19 symptoms.

  • All information which we have been given relating to your child will be held securely and confidentially.  Our GDPR compliant privacy policy can be found on this website.

  • We will take photographs of children without first seeking written permission from parents/ carers, please advise us if you do not wish photographs to be taken of your child.

  • We regret that we are unable to issue refunds if you are unable to attend a class. A refund will be issued if ARCHAEODISCOVERY LTD is forced to cancel a session (e.g., due to class leader illness or bad weather).

  • Children are advised not to bring their own valuable possessions, (including but not limited to toys, mobile phones, game consoles) to the classes. If such items are brought in by a child, ARCHAEODISCOVERY LTD accepts no liability for any loss or damage that may occur.

  • We would advise children to wear appropriate clothing to our sessions as some activities may be messy and often outdoors. ARCHAEODISCOVERY LTD accepts no liability for any damage that may occur to clothing or shoes.

  • We encourage positive behaviour in our sessions and explain our expectations to all children who attend to ensure the sessions are safe and enjoyable for everyone. We will reasonably request that any child that is causing a disturbance, a danger, or disruption is removed.

  • No refunds will be given for any child asked to leave due to repeated incidents of unacceptable/disruptive behaviour.

Administering medicines and sun cream

Permission will be sought from a guardian to give their child paediatric paracetamol, sting or bite treatments, antiseptic cream and sun cream. These permissions will be included in a pro forma consent form.

Guardians will also be asked to provide details of allergies or relevant illnesses and to supply medicines where necessary (such as an epi-pen or asthma inhaler). Where a guardian does not give permission for medicines and creams to be applied, their wishes will be adhered to by Archaeodiscovery staff.

A copy of our Handbook of Policies and Procedures is available upon request and is annually reviewed.
